Separate replacement from repairs and new construction
Start with the work requested: full replacement, partial replacement, repair or new construction. If your program accepts more than one, keep the categories separate in the record and in reporting. An overall siding count hides the mix your sales team actually receives.
Specify whether an inquiry must concern the homeowner's existing property. A builder sourcing installation for a new development is a different commercial opportunity from a household asking for an exterior estimate. It may fit your business, but it should enter an approved program.
Agree on minimum scope only where the source can capture a usable answer. A homeowner may know that the front wall needs work without knowing the area. Keep the stated description and apply the qualification rule your team approved.
Make room for an undecided material choice
List the materials your branches install and define the handling of undecided requests. A material preference can help assignment, but it does not replace a project definition. Someone asking about fiber cement may still be shopping for materials without wanting an installation service.
Ask whether the homeowner needs supply and installation, installation only or another service. Preserve the original preference even if the sales conversation later changes it. That history helps the team understand what the homeowner saw before submitting.
Where product availability differs by branch, put the material rule beside the ZIP rule. A valid territory match should not send an inquiry to a location that cannot quote the requested product.
Keep mixed exterior projects visible
Siding inquiries may include windows, trim, soffits, fascia or other exterior work. Ask which services the homeowner requested and which team owns the combined project. Do not add unrequested products merely because they are common in an exterior renovation.
Decide how your buying system handles one inquiry containing two accepted trades. It might be one project with several service tags, or it may need an internal transfer. The purchase record should show the agreed treatment so two departments do not unknowingly pay for the same opportunity.
Give the appointment team the homeowner's original description. A short code saying exterior work may be convenient for routing but insufficient for a useful first conversation.
Write a siding-program acceptance sheet
| Field | Decision to document |
|---|---|
| Work requested | Full replacement, partial replacement, repair or new construction |
| Service model | Supply and install versus labor-only or material-only |
| Material | Accepted products and treatment of undecided answers |
| Property | Approved property types and installation address |
| Related exterior work | Requested services, ownership and internal transfer rule |
| Project scope | How minimum size is expressed and unknown values handled |
| Territory | Branch, product coverage and effective ZIP-list version |
Mark the fields that must be present before purchase and the fields the sales team will qualify later. Request accepted and rejected sample records for both. A required question should not be filled with a favorable default when the homeowner skipped it.
Include an example in which the service area matches but the material or work type does not. Testing that case checks whether the buying system applies the whole rule instead of stopping at geography.
Review the program by the work delivered
Separate wrong-service requests from contact outcomes in the pilot report. An excluded repair requires a different investigation from a replacement inquiry the team has not reached. Keep proposed credits and approved credits distinct.
Review held estimates by work type and branch after allowing the inquiries a comparable amount of time. If mixed exterior projects take longer to qualify, keep their status visible instead of treating every open record as failed.
Send Adsora the siding work your crews install, the products you accept and your proposed markets. The buying discussion can then focus on that scope and the delivery setup your team will use.
