Define the service before choosing a material category
Separate supply-and-install work, labor-only installation, material-only shopping, refinishing and repairs. Your business may accept several of those services, but each needs its own buying rule. A general flooring label makes it difficult to price the inquiry or judge a later mismatch.
Ask the homeowner what help they need in plain language. Preserve the answer in the record your appointment team receives. If the form only asks which flooring material they like, it has not established whether they need installation.
Treat garages, wet areas, stairs and commercial spaces as explicit scope decisions when they affect your offer. A company selling residential carpet and luxury vinyl should not infer that it accepts every request involving a floor.
Keep project size honest when the homeowner is unsure
Choose a minimum-scope question your team can use. Estimated square footage, number of rooms and a description of the work are different kinds of information. A source should not convert two rooms into a precise area without a documented basis.
Allow an unknown answer if your program can handle it. Route that group for qualification or apply an agreed acceptance rule. If you require a size threshold before purchase, ask how the supplier obtains the answer and how it handles a homeowner who cannot estimate.
Retain the original answer after the site visit. The estimator may discover a different area or a wider scope. Keeping both values lets you distinguish an inaccurate capture from an ordinary change after measuring the property.
A flooring buying sheet
| Decision | What the source should capture or confirm |
|---|---|
| Work type | Supply and install, labor only, materials only, refinish or repair |
| Material | Accepted categories, plus undecided where allowed |
| Project size | Homeowner estimate, unit used and whether the value is unknown |
| Property | Residential or commercial; installation location |
| Customer role | Person requesting work and their role in approving it |
| Estimate format | In-home appointment, showroom visit or initial phone qualification |
| Exclusions | Work your teams do not take, stated in everyday language |
Use the sheet to request a sample record before launch. Have the person who books estimates read it without additional context. If they cannot tell what the homeowner is asking for, revise the questions or the field mapping.
The list is a starting point for your program, not a promise that every source collects every field. Mark required and optional answers separately, and confirm which requirements affect whether a lead is billable.
Match the handoff to the estimate you actually offer
A mobile showroom, a retail showroom and an estimator visiting the property need different instructions. Tell the supplier which next step your team proposes, and confirm that the capture page describes it accurately. Avoid advertising a booked visit when the purchased record only supports a follow-up call.
Route by the installation address and product capability. A nearby location may not carry the requested product or serve that property type. Where territories overlap, choose one branch owner and provide a defined internal transfer process.
Ask the branch to record why an appointment did not progress. Material-only shopping, an excluded repair and an unanswered call should remain separate outcomes. They suggest different changes to the program.
Review the first group by work type
Track accepted inquiries, contact, estimates booked and estimates held for each accepted service category. Keep undecided material and unknown size visible as their own groups until you have enough evidence to decide how to buy them.
If the source sends a service you excluded, compare the lead record with the approved buying sheet. If suitable projects stall after assignment, inspect follow-up and estimate availability before changing the capture rules.
